The Opportunity

We are working with a well-established and respected business within the fire and security sector that is looking to appoint an organised and proactive Service Coordinator to join their operations team.

This is a pivotal role responsible for coordinating engineering resources, managing service activities, and ensuring exceptional service delivery to customers. The successful candidate will work closely with operational teams, engineers, project managers, suppliers, and clients to ensure all service activities are delivered efficiently and in line with agreed service levels.

Key Responsibilities

• Coordinate and schedule engineers for reactive call-outs, planned preventative maintenance (PPM) visits, and remedial works.
• Manage engineer diaries to ensure efficient resource allocation and high levels of service delivery.
• Work closely with operations teams, project managers, and internal stakeholders to effectively plan and coordinate service activities
• Monitor service level agreements (SLAs) and ensure contractual obligations are met.
• Arrange follow-up visits and reschedule works where necessary.
• Create, update, and manage jobs using service management software.
• Maintain accurate records and update job progress notes throughout the service lifecycle.
• Process completed service reports and ensure all documentation is accurately recorded.
• Prepare completed jobs for invoicing and ensure all relevant information has been captured.
• Obtain client purchase orders where required.
• Resource & Supplier Management
• Coordinate with stock and procurement teams to ensure materials are ordered and available.
• Arrange permits, access requirements, and site documentation as required.
• Organise plant and equipment hire and ensure timely off-hire.
• Liaise with subcontractors to ensure service standards and deadlines are achieved.

General Responsibilities

• Identify and escalate any operational concerns or issues where appropriate.
• Support the wider business with additional administrative and coordination duties as required.
• Maintain excellent communication with clients, engineers, suppliers, and internal departments.

Candidate Requirements

The successful candidate will demonstrate:

• Previous experience in a service coordination, scheduling, or service desk environment.
• Excellent organisational skills with strong attention to detail.
• The ability to manage multiple priorities and stakeholders effectively.
• Strong communication and interpersonal skills.
• A proactive and solution-focused approach to work.
• Confidence using scheduling and service management systems.
• Experience within engineering, facilities management, fire and security, or a related service industry would be advantageous.
